This GDPR-compliant privacy policy for TutorBunch outlines how the platform collects, processes, and protects the personal data of adult tutors, parents, guardians, students, and young tutors (aged 13+) — (“you” or “your” refer to any User, no matter whether you are a Tutor, Parent, Guardian or Student). It is designed to meet strict UK and EU GDPR standards, including age-appropriate design codes for minors.
We reserve the right to modify this notice, without notice, by posting any changes on our Website.
When you use the TutorBunch Website and the Payment Services, we automatically collect personal information about the services you use and how you use them. This information is necessary for the adequate performance of the contract between you and us, to enable us to comply with legal obligations and given our legitimate interest in being able to provide and improve the functionalities of the TutorBunch Platform and Payment Services.
We act as the data controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Introduction and Scope
Welcome to TutorBunch.com (the “Site”), provided by TutorBunch, a trading name of Knowledge Privileged Ltd. We are committed to protecting and respecting your privacy. Because our platform connects users — including young tutors aged 13 and older — we apply stringent, age-appropriate safeguards. This policy details what data we collect, how we use it, and your data protection rights under the General Data Protection Regulation (GDPR).
2. Information We Collect
Depending on whether you are a Parent, Adult Tutor, or Young Tutor (13+), we collect the following:
Identity and Contact Data: Names, dates of birth (to verify age), email addresses, and phone numbers.
For Young Tutors (13–17): We require parental/guardian contact details, explicit parental consent during registration and continuous parent/guardian supervision afterwards.
Professional and Academic Data: DBS/background check status, qualifications, subjects taught, and student school year groups, reference from teachers (if applicable), recommendation letters, End of Year Reports.
Technical Data: IP address, browser type, device details, and general usage data (collected via cookies).
2.1 Information You Provide
To provide our tutoring services, we need to collect certain personal information from you. This information varies depending on whether you register as a student, parent, or tutor.
2.1.1 Account Information
When you create an account, we may collect: your name, email address, telephone number, postal address, and date of birth.
If you apply to become a tutor, we may also collect: educational credentials and background, curriculum vitae (CV), profile picture, subjects you would like to teach, teaching philosophy and other related information, your Tutor Fee/Rate, availability and scheduling preferences, identity verification documents (ID, proof of address, DBS check results where applicable — verified and trusted third party organisations handle these), gender, and right to work documentation (for UK-based tutors).
Platform Activity Information
As you use our Website, we collect: communication history with other users and our support team, booking details including requests, confirmations, and lesson recordings, reviews and ratings (for tutors), and promotional codes and referrals you use or share (TB Points, TB Credit, TB Referrals).
2.1.2 Payment Information
We use Stripe, a secure third-party payment processor, to handle all payment transactions. To process payments, we collect: for tutors — bank account details (processed and stored by Stripe), invoices, and payment history; for students — payment history.
Important: We do not store your payment card details on our servers. All payment card information is securely collected and stored by Stripe in accordance with Payment Card Industry Data Security Standards (PCI DSS). When you make a payment, Stripe processes your card details directly, and we only receive confirmation of the transaction.
2.2 Information We Collect Automatically
When you visit or use our Website, we automatically collect technical information to improve your experience and maintain security: device information (type, operating system, browser), IP address and approximate location, pages visited and actions taken on our Site, date and time of visits, and referring website or source of your visit.
2.3 Information from Third Parties
We may receive information about you from: ID Verification and DBS check providers when you authorise ID and background verification, other TutorBunch Users who leave reviews or ratings, and third-party services where permitted by law and with appropriate safeguards.
3. Lawful Basis and Purpose for Processing
We only process your personal data when the law allows us to. Our legal bases for processing include:
Performance of a Contract: To facilitate the connection, scheduling, and payment arrangements between tutors and parents.
Legal Obligations: To perform background verifications, process payments, and ensure child protection and safeguarding standards.
Legitimate Interests: To improve our platform’s functionality, prevent fraud, and secure our network.
Consent: For Young Tutors (13–17), we rely on verified parental consent. For marketing communications, explicit consent is obtained.
4. How We Protect Minors and Young Tutors
TutorBunch strictly complies with age-appropriate design guidelines. For tutors aged 13 to 17:
Parental Verification: We require a parent/legal guardian to authorise the registration and oversee communications for young tutors.
No Nudge Techniques: We will never encourage young users to turn off privacy settings or provide unnecessary data.
ID Verification: We require all Users (Parents/Guardians and Tutors) on the Platform to be ID Verified to create a more secure and trusted environment for young tutors.
Report a Concern buttons are visible on the TutorBunch website (footer page) and can be used to raise a concern in addition to contacting a member of the TutorBunch team via the chat or by email.
5. Data Sharing and Transfers
We do not sell, rent, or trade your personal data. We only share your data with:
Platform Users: Tutors and parents will see necessary booking details to fulfil tutoring services.
Service Providers: Payment processors and IT hosting services that operate under strict data processing agreements.
Regulatory Bodies: Authorities, only when required for child safeguarding or legal investigations.
6. Lawful Basis for Recording & Processing
Lessons are securely recorded via LessonSpace, a reputable fully GDPR-compliant third party data processor, for student review and child safeguarding. Lesson recordings are only reviewed if an issue is reported or on a random spot-check basis to monitor teaching standards. Recordings are automatically deleted after 90 days.
7. Data Retention
We retain your data only for as long as necessary to fulfil the purposes we collected it for, including for legal, accounting, or reporting requirements. For instance, tutoring records and safeguarding data may be retained for up to 7 years following the end of an engagement. After this period, data is securely deleted or anonymised.
When a Parent/Guardian is invited to the TutorBunch website by their child, if there is no response from the parent/guardian in 48 hours, the data related to the invite gets deleted.
8. Your Data Protection Rights
Under the GDPR, you (and your parents/guardians, if you are a minor) have the following rights:
Right to be Informed: To know how your data is collected and used.
Right of Access: To request a copy of your personal data.
Right to Rectification: To correct inaccurate or incomplete data.
Right to Erasure: To request the deletion of your personal data (“the right to be forgotten”).
Right to Withdraw Consent: Where we rely on consent, you can withdraw it at any time.

9. Disclosure of Your Information
The information you provide to us may be transferred to and stored on our servers, or servers of third party providers. We have Data Processing Agreements with each of our third party providers to ensure they comply with their obligations and responsibilities in processing your personal data.
Sometimes it may be necessary to transfer data that we collect from you to locations outside of the European Union for processing and storing. In such cases the data transferred is limited to that which is necessary for the processing purpose.
If you are using the Website, we may disclose your personal information to a Tutor you have contacted, which may include your first name, first letter of surname only, profile photo (if you have added one — parents/guardians are advised to use an image of an avatar for minors), subject(s) you need help with, your year group/level, any SEN needs you may have chosen to list, and a minor badge for children under 18, in order for them to provide tuition services to you.
If you are using the Website as a Tutor, we may disclose information about you to help match you to new Students. This includes your first name, first letter of surname, any references you have received and any information you have declared on your public profile.
As a User of the Website, if you successfully complete ID Verification provided by Yoti, we will award an “ID Verified” badge on your User profile.
If you are using the Website as a Tutor and provide details of referees, we will contact those individuals, inform them of your desire to tutor with us and seek feedback on your suitability to do so.
If you are using the Website as a referee, we may disclose information about the reference you have provided to the Tutor and other Users visiting our Website. This will be limited to the reference provided, your first name and surname initial.
We use third parties to process information such as credit card information and bank account information. By giving us your personal data, you agree to this transfer, storing or processing by these third parties. We never give your details to third parties to use your data to enable them to provide you with information regarding unrelated goods or services.
We may use the information that you provide to us if we are under a duty to disclose or share your information in order to comply with any legal obligation; or in order to enforce our Website Terms and any other agreement, or to prevent fraud.
In the event that we sell any or all of our business to a buyer, or enter into a joint venture with another business entity, your information may be disclosed or transferred to the target company, our new business partners or owners or their advisors.
10. Security
We take protecting your data seriously and take steps to protect your information from unauthorised access, accidental loss, destruction and damage.
Unfortunately the sending of information via the internet is not totally secure and on occasion such information can be intercepted. Although we will take steps to protect your information, we cannot guarantee the security of data that you choose to send us electronically and sending such information is entirely at your own risk.
11. Data Retention
We will keep your information for 7 years from the last date on which you have been active on our Website.
The exemptions to this period are online lesson recordings which are held for 90 days.
Records that you have shared publicly or with another User (e.g. reviews you leave, messages you send and bookings you make) may remain on the Website after your personal information has been deleted, but will no longer have identifying information which links them to you attached.
We may retain records where necessary to fulfil our regulatory or statutory duties.
12. Changes
We review our privacy policy from time to time in accordance with the law.
It is important that the personal data we hold about you is current and accurate. It is your duty to inform us of changes, so please keep us informed if your personal data changes.
13. Third Party Links
We may include links to third party websites, plug-ins and applications. By clicking on those links, you may be enabling data collection and data sharing with those third party websites. We have absolutely no control over these third party websites, and so are not responsible for their privacy compliance. Whenever you leave our Website, we encourage you to read the privacy policy of every website you visit.
